The Transportation Team is responsible for providing safe, efficient and punctual services for Wordfest artists, as well as ensuring they are in the right place at the right time. The Transportation Team plays an integral role in helping to realize one of Canada’s premier arts Festivals.

The volunteer Transportation Coordinator is responsible for overseeing Wordfest’s volunteer drivers (approximately 15 volunteers) during the Festival period. The 20th annual Wordfest runs from October 13 to 18, 2015.

This is a volunteer position and is an excellent opportunity to contribute relevant professional skills and experience to serve the community and the arts sector.

During the months leading up to the Festival, the position requires a commitment of up to 10 hours inclusive of one planning meeting with staff, and shift scheduling for volunteer drivers. During the Festival week, the volunteer Transportation Coordinator is expected to be on site, full-time, at the Festival headquarters in downtown Calgary from Tuesday to Sunday to lead and direct their respective area of responsibility for the duration of the Festival.

We are looking for two transportation crew coordinators, available full-time to cover day and evening shifts during the Festival week.

Training will be provided. Wordfest provides vehicles and covers fuel expenses.

Responsibilities include (but are not limited to):

• assist with recruiting volunteer drivers
• attend pre-event planning meetings, lead volunteer orientation for transportation volunteers
• in collaboration with staff, coordinate transportation needs for artists between various venues including airports, hotels, theatres and schools, within and around Calgary
• schedule volunteer drivers
• arrange for pick up and drop off of rental vehicles before and after the Festival
• maintain accurate records for volunteers, including their contact information and hours of service, using the Volgistics database
• manage a team of volunteer drivers throughout the Festival period

Qualifications, abilities and skills:

• be a resourceful and highly focused individual with well-developed organizational and administrative skills
• flexible and adaptable to sudden changes in scheduling and volunteer availability
• comfortable working in a fast paced environment
• experience in transportation logistics and/or event management is an asset
• be available full-time (e.g. 40 hours / week) for the duration of the Festival (October 13-18, 2015)
• be able to deal effectively with staff, the public and artists
• be comfortable with scheduling and team management
• possess a valid drivers license and a clean driving record
