Job Description

The Youth Programming Coordinator assists the departmental manager in various aspects of business development and administration, customer care, artist management, event planning and execution, and development of educational material. The successful candidate is a team player with a keen interest in the literary arts, and in working for a charitable, not-for-profit cultural organization. This position requires organization, flexibility, excellent written and communication skills, discretion and a desire to learn about the general operations of a not-for-profit arts organization.

Responsibilities include (but are not limited to):

  • • Assist Wordfest Youth & French programming staff in the management of the administrative, educational and event planning & execution operations
  • • Develop educational support material for K-12 teachers and their students (Reading guides based on festival books, activity sheets and craft activities suitable for learning goals linked to Alberta curriculum)
  • • Collaborate on a communication campaign designed to promote the youth program toward educational institutions, youth community organisations, literary supporters
  • • Provide administrative support in sales administration, communication, artist management, event planning and management
  • • Acquire (when possible and appropriate) potential event supporters whose contribution (financial or in-kind) strengthen the outreach initiatives and make the youth program accessible to youth at risk and aboriginal youth

Tasks include (but are not limited to) assisting in:

  • • Maintaining a database of schools and teachers
  • • Implementation of the design and drafting of Teaching Resource Guides
  • • Promotion and follow up bookings and contacts with school and educators
  • • Seeking renewals of previous youth program ticket buyers
  • • Maintaining communication with teachers, school board personnel and other educators and education related committees
  • • Confirming bookings, payment of invoices and the dissemination of information
  • • Promotion of youth program with the Education Sub-Committee, should it be in place, and the Communications Coordinator

Qualifications:

  • • Effective written and oral communication skills
  • • Strong organizational skills
  • • Strong communication skills (oral & written)
  • • Computer proficiency is a requirement, particularly a good working knowledge of MS Office
  • Knowledge of Adobe Design software, Tessitura and FileMaker 6.0 an asset, but not a requirement

  • • Some experience in an administrative support role
  • • Language skills (French and/or Spanish) an asset, but not a requirement
  • • Post secondary education preferred. Post Secondary Office Management Certificate or diploma is a considerable advantage

Internship Term: June 1st to October 23rd, 2015, with the possibility of extension based on performance and funding availability. Must be available to work during the Festival period (October 13-18, 2015).

Supervision: The position will report to the Wordfest Youth Manager, work with all staff as appropriate, and provide planning and production support for youth events for the 20th anniversary edition of Wordfest, October 13-18, 2015. The Programming Intern will receive ongoing training, feedback and a performance review.
